How to apply for Japanese personal documents

1.Residence Card

 

• What is Residence Card?

 

"Residence Card" is the legal ID card for foreigners in Japan.

 

 

 

 

• How to get a Residence Card?

 

Starting from July 2012, when you enter the country at Narita, Haneda, Chubu, Kansai, New Chitose, Fukuoka, and Hiroshima airports, the customs will help you go through the alien landing procedures,  you can collect your Residence Card directly at the airport.

 

However, there is no address on the Residence Card. You need to bring your Residence Card to the city hall where you live within 14 days after entering the country to fill in the residence registration address application form. The Residence Card will not be officially effective until you complete the procedures.

 

If you enter the country at another airport or port, you need to bring your passport and ID photo to the city hall near your residence to apply for alien registration within 14 days after arriving in Japan, fill in the residence card landing address application form, and complete the landing address procedures. The Residence Card will be sent to your residence within 7 to 10 days.

After receving your Residence Card, be sure to write down the card number. If your Residence Card is lost, you can quickly apply the re-issuance procedure by the card number.

2.Residence Certificate (with My Number(個人番號)

 

• What is Residence Certificate?

 

 

The Resident Certificate is a paper certificate issued by the city hall

 

 

The Resident Certificate is a paper certificate issued by the city hall, which records the applicant's address, name, date of birth and other records. It is the basic information for seal registration, National Health Insurance enrollment, taxes, etc.

 

 

 

• How to get a Residence Certificate?

 

Take your residence card(在留カードとは)  to the city hall and show the staff this sentence (個人番号付きの住民票が必要です） and it will be done in a few minutes, it is easy

 

(In the city hall, there will be staff member ask you what you want to apply for. You only need to tell them that you want to apply for a Residence Certificate and they will bring you a form to fill out. A template is provided for your reference, so you don’t need to worry about it.)

3.Residence Certificate Request Form

 

(You need to manually check the individual number option when filling out the request form, otherwise it will not be displayed on the Residence Certificate)

 

 

 

 

 

3.My Number Card

 

• What is My Number Card?

 

My Number Card (Individual Number Card) is a 12-digit number IC card issued to Japanese citizens and foreign residents. I

 

 

 

 

• How to get a My Number Card?

 

When the city hall sends the Notification Card, it will send the My Number Card application form. There will be an exclusive QR code at the bottom of the application form.

 

 

 

 

There are generally 3 ways to apply for a My Number Card:

 

Method 1: Complete My Number Card application form and send by post.

 

Method 2: Scan the QR code at the bottom of the application form and apply online on a computer, smartphone, etc.

 

Method 3: Bring the application form to a self-service ID photo camera that can apply, and take a photo of your face to apply.

 

 

 

4.Notification Card

 

• What is Notification Card?

 

The Notification Card is a paper card used to inform residents of their individual number.

 

 

• How to get a Notification Card?

 

After you apply for a Residence Certificate at the local city hall,

 

the Notification Card will be automatically sent to your residence within 2-3 weeks.

 

There is no need to apply for it separately. However, if you have not applied for a Residence Certificate, it will be unable to receive the Notification Card.
